HRI and Insight – Raffle Privacy Policy –  18 December 2023

The Heart Research Institute Limited and Insight Holdings Consolidated Pty Ltd (Insight) are committed to respecting and safeguarding your privacy. We are referred to here as “us”, “we” or “our”.

This policy concerns the charitable fundraising activities conducted by us. Our contact information is provided at the bottom of this policy.

The Heart Research Institute Ltd (HRI) is a charitable organisation which researches the prevention and treatment of heart disease. HRI promotes awareness of its work, publicises its activities, informs the community about its work, responds to your comments or questions, administers its work and conducts fundraising to support its activities by seeking financial support, operating fundraising activities including telemarketing and raffles and researching supporter attitudes to support that work.

Reasons for Collecting Information

This policy applies to our activities in fundraising, telemarketing, events we organise and supporter management, and outlines how HRI collects, uses and discloses personal information about our supporters and our contact records. This policy applies to HRI and Insight as the Australian Privacy Principle entities and to the contractors which we use for our fundraising including banks, postal services and communication providers.

How We Collect Information

We collect contact or personal information directly from you. This information may be collected from a number of sources including appeal letters and coupons, telephone enquiries and sales, donations, payments, event entry forms, merchandise sales, advertisement response forms, purchase of goods and services, mail services or otherwise, requests for information about our services, and via our websites for those purposes. We may record our phone conversations for which a notification is provided. In each of these sources we believe it will be reasonably apparent that our purpose is to seek your support for HRI’s raffles and its charitable purposes. You will be notified of our continued interest in contacting you and of your right to decline to receive further contact from us. Please see the contact information below to act on that wish. The information we collect is limited to personal information which may include name, age, gender, contact details, date of birth, preferences for communication, relevant interests and payment information.

A related purpose for which we collect personal information may include marketing. We may send marketing material to you if you have consented to receiving this material, the material is related to a purpose for which you provided information (implied consent) or provided it gives you a chance to stop or opt-out of receiving this material. We may contact you directly where it has acquired your contact details via information in the public domain such as phone book data or from data suppliers.

How We Use Information

We use mailing lists and collected information to update and maintain information and to contact new and existing supporters. To provide our services, we use dependable mailing list companies, telemarketers, banking services and other suppliers who are also bound by the Privacy Act 1988.

Information you have provided to us as a contact, a supporter or raffle participant with HRI will be used to seek your continuing support for charity fundraising. If you no longer wish to support or to receive approaches or information from us, please contact us using the contact information below.

We do not collect information about health, politics, religion, ethnicity or other information known as sensitive information. We maintain the information we collect for accuracy and completeness. We do this during our contact with you and from external sources. We may ask for your date of birth but not the year to offer you special prize.

Where required for example for accuracy or to act on your request to decline further contact, we may update the supplier of contact information for changes in the information you give us in accordance with this policy and that supplier’s privacy policy. We disclose information about you to third parties with your express or implied consent. We do not sell the information you provide to us to others.

Internet Advertising

We may use Google AdWords Remarketing and/or Facebook Remarketing to advertise across the Internet, in particular on the Google Display Network and Facebook Network. AdWords and Facebook remarketing will display ads to you based on what parts of the website you have viewed by placing a cookie on your web browser. This cookie does not in any way identify you or give access to your computer or mobile device.

The cookie is used to indicate to other websites that “This person visited a particular page, so show them ads relating to that page.” Google AdWords Remarketing and Facebook Remarketing allows us to tailor our marketing to better suit your needs and only display ads that are relevant to you based on your past browsing habits. We use a tool called “Google Analytics” to collect information about use of this site. Google Analytics collects information such as how often users visit this site, what pages they visit when they do so, and what other sites they used prior to coming to this site. We use the information we get from Google Analytics only to improve this site. Google Analytics collects only the IP address assigned to you on the date you visit this site, not your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information. Although Google Analytics plants a permanent cookie on your web browser to identify you as a unique user the next time you visit this site, the cookie cannot be used by anyone but Google. Google’s ability to use and share information collected by Google Analytics about your visits to this site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy. You can prevent Google Analytics from recognising you on return visits to this site by disabling cookies on your browser.

Information Security

We take all reasonable measures to keep any information held about you secure and to keep this information accurate and up to date. Information collected is kept in secure locations including in soft form in secured servers and where required is encrypted during transmission or in storage. Contracted suppliers are required to provide data security including firewalls, router settings and virus and interception protection.

Retention of Information

We do not retain information about you which is no longer required or is in use for fundraising. We dispose of records, files, letters and payment records in a secure manner and require suppliers to delete records from systems as soon as possible after completion of each task.

We must request and will retain information regarding all financial or potential supporters and those transactions for charity regulation, taxation, the conduct of raffles according to state legislation and related purposes.

Overseas Processing

Some of our service providers are located in the United Kingdom, United States (for example: Google Analytics) and the Philippines. Personal information of existing supporters of HRI is not disclosed overseas. We ensure that the service providers which process personal information in any way, only do so according to an agreement which includes standards at least equivalent to or greater than the standards which would apply if that service provider was located in Australia. Such a transfer and disclosure may occur only for new contact acquisition.

Feedback, Queries or Complaints

You are entitled to know what information about you we hold and to correct that information. We will give you access to the information we hold about you. We may ask you to pay for document retrieval if that is necessary.

We may amend our privacy policy from time to time. We will notify you of any changes by posting the details of the changes in this policy on our website at www.hri.charityraffle.com.au

If you are dissatisfied about any aspect of our privacy policy in relation to your contact information, please contact us. We are happy to consider all feedback, provide answers and where necessary act on any reasonable or legal request. We may need to identify you for that purpose.
